What is Google Workspace?

Author: Published

In brief: Google Workspace is a suite of Google services for email, working with documents, storing files and communication, managed by an organisation. It lets you use a business email address on your own domain, such as anna (at) twojafirma.pl, and edit documents collaboratively online. Its main difference from a regular Google account is centralised management of users, access and security settings; the range of features depends on the plan you choose.

What Google Workspace includes

Google Workspace combines apps that many people know from their personal Google accounts with administrative tools for a business or other organisation. Most everyday tasks can be carried out in a browser, without installing an office suite on your computer. Mobile apps are also available, and selected features can be set up for offline use.

The main services are:

The availability of additional tools, AI features, meeting recording and advanced security mechanisms depends on the edition and terms of service. Before purchasing, check the current plan comparison in Google’s official materials rather than assuming that every subscription includes all features.

How it differs from a free Google account

A free account with an @gmail.com address is a personal account. Google Workspace allows an organisation to create employee accounts, set rules for using services and revoke access when someone leaves. Among other things, an administrator can reset passwords, manage licences and configure sign-in requirements.

For example, if a salesperson uses a personal Gmail account, the company does not have the same administrative control over their mailbox and materials. In Workspace, it can suspend the work account and transfer data in line with the service’s capabilities and its own procedures. This does not mean that all files will automatically go to a replacement, however — the transfer method depends on where they are stored and the settings in place.

Workspace is neither domain registration nor website hosting. A domain, meaning a name such as twojafirma.pl, must be registered separately. Your website can run with another provider while your email runs with Google; these services do not have to be purchased from the same place.

What day-to-day teamwork looks like

Imagine a three-person agency preparing a proposal for a client. One person writes the content in Docs, another adds comments, and the third fills in the cost estimate in Sheets. Instead of sending successive attachments with names such as “proposal_final_2”, the team works on a single shared file and can review its version history.

A file can be shared for viewing, commenting or editing. Access can be restricted to specific people, although the available options also depend on the policy set by the administrator. The link itself should not be treated as a security measure — before sending materials to a client, check the actual permissions.

Plans that include shared drives allow team materials to be stored in a space owned by the organisation rather than an individual. This makes it easier to maintain continuity when the team’s membership changes. For complex spreadsheets, macros or specialised documents, however, you should test compatibility with your existing software: importing a file does not guarantee that every feature will work identically.

How much the service costs and how to choose a plan

Google Workspace business plans are usually billed according to the number of licensed users. The cost depends on the chosen edition, billing arrangement, commitment period and terms of purchasing directly from Google or through a partner. Confirm the current price, taxes, limits and cancellation rules before placing an order.

When choosing a plan, focus on comparing storage capacity, video meeting capabilities, shared drives and administrative features. If you need archiving, data searches for legal proceedings or specific retention rules, check the availability of Google Vault — a tool for data retention and search. Vault is not a substitute for a full backup system.

Not every address needs a separate licence. An alias, meaning an additional address that directs messages to the same mailbox, may be enough when one person handles the addresses anna (at) twojafirma.pl and kontakt (at) twojafirma.pl. If several people need to handle shared correspondence, choose an appropriate mechanism, such as a group or delegated access, rather than sharing a single password.

How to set up Workspace on your own domain

Configuration requires access to your domain’s DNS settings. DNS is a system that stores information including details of the servers handling email. Simply creating accounts in Workspace does not yet redirect messages from your existing provider.

A typical procedure looks like this:

  1. Choose a plan and verify control of the domain according to Google’s instructions.
  2. Create accounts, aliases and the groups you need.
  3. Plan the migration of existing email, contacts and calendars.
  4. Set up MX records, which direct incoming email to the appropriate servers.
  5. Configure SPF, DKIM and DMARC — mechanisms that help recipients verify the authenticity of messages from the domain.
  6. Test sending and receiving email, and enable two-step verification.

Use the record values provided in Google’s current documentation and account for other systems that send email from your domain, such as an online shop or newsletter. Do not disable the old service before checking the migration and message delivery.

Before purchasing, list the number of people, required features and amount of data to migrate. Then use a few real files and accounts to test whether the chosen plan suits the way your team works.
